UpTurnships is a 501c3 nonprofit that helps underrepresented college students secure paid internships. Our vision is a workforce that promotes equitable access and opportunity for ALL to THRIVE.

 

UpTurnships seeks to disrupt the way America sources, seeks, and enjoys work. Our goal is to prepare, equip, and provide paid meaningful work experiences for under-resourced and underrepresented college students while partnering with employers to build equitable, inclusive and diverse workforce environment We provide over 100 hours of business coaching and training to ensure UpTurns success in the workplace, and unconscious bias training four times annually to employer partners

 

Our average UpTurn:

  • is Pell grant eligible and/or paying the majority of their college tuition and expenses through scholarships, work study, grants, and student loans

  • is a first-generation college student

  • and is highly motivated, yet unseen to the job market.

           

Summary

This position is responsible for supporting the work of the Executive Director (ED) and UpTurnships organizational operations. Through this work the Operations Manager builds capacity and growth in organizational infrastructure. By supporting the work of the ED this position works with board members, volunteers, staff, vendors and many others ensuring efficient and effective operations as well as a positive experience for all involved. The Operations Manager is a key liaison between vendors and the internal team at UpTurnships. This work is carried out using various systems, which this position plays a primary role in managing and creating. Critical success factors include high organization skills, attention to detail, high proficiency using and managing multiple systems to drive efficiencies; strong process skills to streamline our work; able to display and document our process / strategies / workflow / decisions.

 

Job Duties and Responsibilities

 

Executive Support (40%)

 

  • Serve as the “system admin” - coordinating memberships, Google Drive, keeping track of policies/ insurance info, helping team members access various accounts as needed, etc.

  • Keep records in CRM: record all new contacts, update contact information, pull contact lists as needed, record all meeting notes and/or grant notes, record all donations, etc.

  • Perform scheduling and other administrative tasks for ED as needed.

  • Track and report on vendor services, donations, employer fees, etc. 

  • Accountable for maintaining documentation with vendor services related to (volunteers, program applicants, UpTurns, employers).

  • Support the Executive Director in work with individual board members and board meetings, all team meetings and events.

 

Vendor Relationship

 

Stewardship and Growth (30%)​

  • Implement processes and procedures for quality stewardship of key community partners and vendors.

  • Accountable for communication, coordination and documentation of operation systems and processes

  • Provide additional development support by: 

    • Assisting with grant data as needed.

    • Assisting in development/fundraising event planning, including strategy, writing communications, logistics, event set-up, participant tracking, etc.

    • Provide additional support as needed in the following: keep grant tracker updated and organize all grant materials, update donor history, send stock instructions and thank you notes, and LORs to all donors.

 

Partner and Internal Liaison Work (30%)

 

  • Vet incoming institutional partnership requests, assess potential level of partnership and identify which UpTurnships staff is the appropriate portfolio manager for the partner (e.g. ED, DSPC or Program Director)

  • Collaborate with all team members to facilitate ease of operations and organization management.

Required Job Qualifications

  • Experience in Office Management, Business Administration, Communications, Marketing, or equivalent experience.

  • Highly proficient technical/PC skills; expert user of Microsoft Suite, Zoom, Outlook, etc.

  • Superb organizational and time management skills.

  • Highly skilled in building and maintaining professional relationships.

  • Able to easily learn various software systems and aid staffing in access as well as use.

  • Thrive in a remote and small team setting. When needed be available for in-person events, key meetings, and programming.

  • Skilled in video conferencing.

  • Large capacity to meet the needs of a high growth, innovative organization.

 

Education/Certifications/Licenses

  • Bachelor’s degree preferred. Must have 2-3 years of related experience.

  • Excellent communication skills, including written and verbal, in person and over video conference, as well as the ability to communicate with a wide range of audiences.

Computer/Software Skills

  • Strong computer skills, including demonstrated proficiency in Microsoft Office products.

  • Ability to learn operating system’s tools for tracking vendors, donors and connecting with key stakeholders. This includes email capability as well as process management components of the operating system.

  • Experience with Salesforce preferred but not required.

Hours and Pay

  • $45,000-$55,000

Location and Travel

UpTurnships is primarily virtual with no central office.

  • 85-90% of work time will be remote (during the pandemic. This is subject to change based on the organization’s needs and growth), and interactions with team members will be via phone, text, email and video conferencing.

  • Some travel will be required, specifically to support key programming, special events, and major staff events (ex. retreats).
